How to do the most common things on MeetMoment, step by step.
Registering an athlete for a meet
On the meet's Registration page, the first step is adding a skater if you haven't already. There are two ways to add one:
- Yourself ("Skaters of any age can sign up themselves"): create your own account, then add yourself as an athlete. You're marked as your own SELF relationship, so you can answer media consent and everything else for yourself.
- Your child, as a parent or guardian: sign up for your own account, then add your child from the same Registration page ("Add athlete"). You're marked as their GUARDIAN — media consent, waivers and payment for that athlete go through you.
If you already have one athlete on your account and add a sibling, MeetMoment offers a "use details from…" shortcut that copies only the shared last name and team — never the birth date, medical notes, or media/photo consent, which you still enter yourself for each skater. If the name and birth date you enter look like an athlete who already exists, you'll be asked to confirm before a duplicate is created.
When you select an athlete to register, tick Inline and/or Quad — they're independent disciplines, so one skater can enter both at the same meet (each gets its own division/skill-level picker). If the meet uses pricing windows, pick an entry package for each athlete; the page shows which window is currently active and its deadline. Once every pricing deadline for the meet has passed, you can no longer self-serve a package — contact the meet's Director.
The last step is media consent, asked once per athlete who can give it (SELF or GUARDIAN athletes, not ones you only coach): accept or decline photo/video categories. Declining does not affect the registration in any way — it only controls whether MeetMoment shows or sells media tagged with that athlete. You can change it anytime later from Media Consent in your account.

Requesting (linking) a coach
From the athlete's row on the Registration page or Team roster, use Ask a coach. MeetMoment suggests coaches from the athlete's own meets or team, or you can search approved coaches by name. Pick one and the request is sent — the coach gets a notice and accepts or declines it from their own Team roster page.
While it's waiting you'll see "Waiting for Coach <name> to accept," and you can cancel the request. Once a coach accepts, the athlete is added to their roster (and to the coach's own club, if the athlete had none yet). You can remove a coach at any time from the same panel, or ask a different one.
This is separate from requesting the Coach role for a meet (which a coach does for themselves, and which needs a team/club affiliation) — this flow is a family linking a specific athlete to a specific coach.

Registering with no team or coach yet
You do not need a team or a coach to register. If your skater has neither, the wizard shows a notice explaining that they'll race as their own coach at this meet — that's allowed, they can race every event they're entered in and still sign up for pick-a-partner relays — and asks you to tick an acknowledgment. The meet's Director is told once per athlete per meet so they know to expect it. You can add a team or coach later from the athlete's profile at any time.
See: src/lib/ownCoach.ts.
Challenge up
Some meets let a skater race above their own level — for example a Novice skater challenging up into an Elite race, or an Elite skater challenging into the next Elite tier. During registration, after picking an athlete's own race level, a "Challenge up" choice appears if one is available for that skater's division: it defaults to "No," or you can pick "Yes, also race <the higher division>." If the athlete is entering both Inline and Quad, each discipline gets its own challenge-up choice.

Pick-a-partner relay sign-up
On meets that run "pick-a-partner" relays, you don't need a full team to enter a relay — sign your skater up individually for any relay event they're eligible for (from Registration or My registrations), and the Director draws teams from everyone who signed up, across clubs, keeping ages close and (for a Mixed relay) a balance of girls and boys per team. Signing up is free and you can untick it any time before teams are drawn; after that, ask the Director to make a change.
See: src/lib/pickAPartner.ts, src/components/relay/relay-sign-up-panel.tsx.
Replacing a lost or damaged bib
If a bib is lost, torn, or unreadable, ask the meet's Director, Assistant Director, or a Superadmin to reissue it (gate and race staff cannot — this is a paid change to the roster and the printed sheets). They'll need a short reason. Meets set their own reissue fee: it's either free, or at least $5 (and at most $100). A free reissue is issued immediately; a paid one is issued once payment succeeds.
The old bib number is retired and never reused at that meet. Your new number automatically replaces the old one on any heat that hasn't started yet — but any heat that already has a result keeps the original bib, since results are history.

Following an athlete as a spectator
Families and coaches don't need this — their own athletes already show up on their schedule. If you want to follow someone else's skater (a friend, a teammate) as a spectator, use Follow an athlete from your dashboard or schedule page. You can look them up either by their bib number at that meet, or by typing their exact full name and club — there is no searchable list of every athlete, by design. Once followed, their heats appear in your My schedule.
